JOB SUMMARY

The Business Support Coordinator Is an entry level position playing  a vital role in ensuring the smooth operation of the organization by managing day-to-day administrative tasks, supporting the coordination of events, and maintaining organization of the office. Responsibilities will include overseeing calendars, meeting space coordination, data management, handling mail, and managing visitor logs to facilitate effective communication within the team. The incumbent will assist in project execution, support training initiatives, and ensure compliance through accurate reporting. Additionally, the incumbent will monitor budgets for office supplies, contributing to a collaborative and healthy work environment that promotes teamwork and well-being.

 

MAIN FUNCTIONS & RESPONSIBILITIES

  • Administrative Support & Supply Management: Manage day-to-day administrative tasks for the organization, i.e., phones, overseeing calendars, meetings rooms, setting up for meeting, while maintaining oversight to the office supplies and ensuring that levels are balanced and appropriate, to avoid unnecessary overspend. 
  • Human Resources Support: Responsible for various administrative tasks for the HR department, including file management, mailings, phone calls, foot traffic, and various communication items. Intakes and routes HR inquiries via electronic methods. Always maintaining explicit confidentiality with all parties (both internal and external) outside of the President & CEO, and other HR team members.
  • Data Management & Reporting: Support regular data and reporting activities as needed by compiling regular reports, to ensure informed decision-making.
  • Communication Items: Sort, distribute, and manage incoming and outgoing mail. This includes going to the post office on a regular basis, managing stamp inventory, and supporting other departments meeting deadlines for various communication items. May be asked to peer check, revise, or format written communication (letters, PowerPoint, etc.). Managing the video board and associated software. 
  • Office Maintenance & Cleaning: Ensures a clean and organized office environment by providing daily cleaning to the office area and all meeting rooms in the plant (vacuum entry way and wipe/ sanitize tables) to foster a professional atmosphere for team members and visitors. Fills and empties the dishwasher on a daily or weekly basis, pending need. Coordinates with maintenance as needed for observed repairs.
  • Visitor Management & Log Maintenance: Greet visitors warmly, manage visitor logs, and provide necessary information to support and enhance their experience while on-site. 
  • Project Support & Training Coordination: Assist with planning and executing various projects and events, providing support to team members, and helping to organize training sessions, including logistics and materials preparation.
  • Budget Tracking, Logistics: Monitor and track office budgets for supplies, ensuring cost-effectiveness and adherence to financial guidelines.
  • Work Environment: Contribute to a healthy work environment by fostering open communication, mutual respect, and collaboration, empowering team members to share ideas, support one another, and achieve shared goals while promoting well-being and work-life integration/ balance.
Requirements

QUALIFICATIONS and PHYSICAL REQUIREMENTS

  • Education: High School diploma required. An associates degree or certification in business or a related field preferred. 
  • Experience: Two years of experience in a related field preferred. 
  • Skills: Strong communication, organizational, and problem-solving skills 
  • Computer skills: Proficiency in common customer service software and applications 
  • Customer service: Knowledge of customer service best practices, inclusive of both internal and external customers
  • Teamwork: Ability to manage and motivate a team, and work well with staff 
  • Attention to detail: High attention to detail and accuracy 
  • Time management: Excellent time management skills 
  • Confidentiality: Ability to maintain confidential information 
Salary Description
$16.00-$19.00/hr
